Privacy Policy

This policy explains how ZarchBot Activity Reminders, operated by Zach Cochran, handles information for Orchard 1st Ward Youth youth reminders.

Information we collect

We collect the name, phone number, and optional email address you submit; your separate text, voice, and email choices; household and youth-group relationships needed to personalize schedules; and records of signup, verification, help, and opt-out requests. An address from an existing roster may be held as an unverified candidate, but it is not eligible for email until its owner separately requests and completes verification. To operate and troubleshoot the service, we may also record delivery status, reminder history, IP address, browser information, and the questions or speech transcripts submitted during a call.

How we use information

We use this information only to provide youth activity schedules and reminders, answer calls, honor communication choices, prevent duplicate messages, investigate delivery problems, and maintain required consent records. The program sends informational messages, not advertising.

Service providers and sharing

We do not sell personal information or share it with third parties or affiliates for marketing or promotional purposes. Limited information may be processed on our behalf by providers needed to host the site, place calls, deliver messages, recognize speech, or generate spoken audio. Those providers may use it only to perform those services or meet legal obligations.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

Retention

Contact details and preferences are kept while you participate. Opt-out, consent, and delivery records may be retained longer when needed to honor your choices, prevent unwanted messages, resolve problems, or meet legal and carrier requirements. Unanswered call questions may be retained temporarily for service improvement. We delete or de-identify information when it is no longer reasonably needed.

Your choices

Reply STOP to a text to stop text messages, use the phone-channel unsubscribe page to stop text and voice reminders, use the preference link in any ZarchBot email to stop email, or contact us to ask about or request deletion of your information. Each channel is independent. Some minimal opt-out records may be retained so we can continue honoring the request.

Security and children

We use reasonable administrative and technical safeguards, but no system can promise absolute security. A parent or guardian should complete signup when the participant is not able to provide consent on their own.

Program notices

Text and voice frequency varies, typically 1–4 messages per week. Email is limited to permission slips and long-term activity plans, usually no more than 1–2 emails per month. Message and data rates may apply. Reply HELP for help or STOP to cancel texts.
